Arizona Department of Revenue – Unclaimed Properties Division
The Arizona Department of Revenue Unclaimed Properties Division recently lost a Superior court case because a certain document containing funds received could not be located. Twenty-five percent of the staff’s time was spent correcting missing information or searching for documents in the Unclaimed Properties Division of the Arizona Department of Revenue. ICM had the perfect solution, and scanned 20 years of file history and created an electronic document library of information, indexed by institution and year, all easy to access.
Arizona Department of Transportation – Financial Services Division
Vendor contract files, consisting of thousands of hard copy files were difficult for the Arizona Department of Transportation Financial Services Division to track and maintain because many people needed access to them. Additionally, transferring files between floors and buildings demanded extra staff and resulted in the loss of some documents. ICM partnered with ADOT to implement and electronic document management system.
Arizona School Districts
ICM has provided numerous benefits to Arizona school districts, including Dysart Unified School District, Roosevelt Unified School District, Peoria Unified School District, and Isaac Unified School District.
Caterpillar
Caterpillar is the world’s leading manufacturer of construction and mining equipment. In 2001, the construction giant needed to convert its engineering and manufacturing documentation from Interleaf to Microsoft Word. To solve this project, ICM set up a secure file transfer process so files could be transmitted back and forth in a safe environment. ICM converted the documents to Word, thereby creating all the required elements for complex documents, including tables, illustrations, and indexes.
Department of Juvenile Corrections
The Arizona Department of Juvenile Corrections is required to archive basic information about students as part of their permanent school records. The system of storing boxes in the basement was no longer tenable because of space limitations, the potential loss of degraded paper, and the risk of disasters.
DHL
DHL needed an electronic system that would provide its Human Resources department with desktop access to employee files and work with its PeopleSoft system to utilize that program’s business rules governing access level security. ICM is the only scanning and software services company to deliver the necessary functionality. ICM converted digital files to PDF, then created a secure, web based repository and an interface with DHL’s PeopleSoft system.
Scottsdale City Court
Due to staff shortages, Scottsdale City Court experienced a large backlog of civil and criminal case files needing to be imaged. The court had an in-house scanning solution - however handling so much paper was costly, time consuming, labor intensive, and expensive to store. Due to unorganized bar codes, ICM started from scratch and manually indexed the files to match the court’s database entries. The court was able to save staff time, and regain storage space, which is now used for new offices.
Structural Pest Control Commission
The Structural Pest Control Commission is a state agency that regulates the commercial pest control industry under the guidance of the Environmental Protection Agency and state statutes. Each monthly meeting agenda was approximately 1000 pages, which must be compiled and distributed to seven commissioners and other interested parties. Previously, that process was all completed by hand. ICM compiled the meeting information and created a single PDF, complete with bookmarks and hyperlinks for easy navigation.
